Org Chart Templates

Start a chart from a saved structure of groups and placeholders, so every account begins with the buying committee you expect.

What a template is

A template is a saved structure of groups and placeholders that can be applied to an org chart in one click. Instead of starting from an empty chart and rebuilding the same departments - templates allow re-use of similar structures.

A template contains two kinds of nodes:

  • Groups — named, coloured clusters, usually departments or teams.

  • Placeholders — seats you expect to fill, each with a Role / Position and a note.

Where to find templates

Open an org chart and click Templates on the left icon rail - second from the bottom, above Views. The panel lists your templates with the number of groups and placeholders in each. Manage templates opens the Templates window, where you can preview, apply, create, and edit them.

Templates can also be applied from the + menu in the chart toolbar (Apply template) and from the chart node menu of organizations.

Applying a template

  1. Open the Templates window and select a template. The preview on the right shows exactly what you are about to add.

  2. Click Apply template.

The template is added under the organization. Existing people, groups, and reporting lines remain where they are, so it is safe to apply a template to existing charts.

Filling placeholders

Once you have worked out who sits in a placeholder, fill it in one of two ways:

  • Drag a contact onto it. Open Contacts on the left icon rail, drag the person over the placeholder and wait until it turns green and reads Drop to assign contact. Dropping below a placeholder instead adds that person as a direct report and leaves the seat open.

  • Use the ⋯ menu. Choose Assign Person to search your CRM — the account's own contacts are listed first, but the search covers every contact in your CRM — or to create a new person, who is added to your CRM and placed on the chart in one step.

Either way the seat becomes an ordinary contact card showing that person's CRM fields. See How to Use Org Chart Placeholders for the full detail.

Building your own template

  1. In the Templates window, click + New template and give it a name.

  2. Use the two small round icons under a node to add a group or a placeholder beneath it. Build as deep a structure as you need.

  3. A group takes a Title, an optional Description and a Color. A placeholder takes a Role / Position and a What do you know? note — both optional.

  4. Click Save template.

Until you save, an Unsaved changes marker sits at the top of the window, and closing it asks whether to keep editing or discard your changes.

Tip: the fastest way to a new template is often Duplicate on an existing one, from its ··· menu.

Personal and shared templates

A template you create is personal to you and shows as Only you. Admins can make a template available to everyone with Share with team from its ··· menu; shared templates carry a Shared badge.

Shared templates are managed by your admins — only an admin can edit, stop sharing or delete one. If you want your own version of a shared template, use Duplicate and edit the copy.

Plans

Templates are available on every plan. Basic includes one personal template. Professional and Enterprise include unlimited templates and team sharing, so an admin can set up the structures everyone should be mapping against.

If your plan no longer covers a template, it stays in your list marked Upgrade to use — nothing is deleted.
