How vizrm's AI Title Classification works in accordance with GDPR

What the AI Title Classification feature does, what it never sends outside vizrm, where it runs, and how we keep your and your contacts' personal data private.

AI Title Classification looks at the job titles already stored in your CRM (like "Senior Sales Manager" or "VP of Engineering") and sorts each one into a seniority level and a department. This lets vizrm automatically build and organize your org charts.

The only thing the feature ever looks at is the job-title text itself. No names, email addresses, company names, deal or contact data, or anything that could identify a person is ever sent outside vizrm. Your personal data stays with you.

What is sent to the AI

To do its job, the AI model vizrm uses requires the wording of a job title (for example, senior sales manager).

It never sees:

  • Names of people or contacts

  • Email addresses, phone numbers, or postal addresses

  • Company or organization names

  • Account, deal, pipeline, or revenue information

  • Any other field from your CRM

The link between a job title and the person who holds it never leaves vizrm. That connection is put back together privately inside vizrm after a title has been classified, so no outside service or AI provider ever knows whose title it was.

How vizrm checks for personal data before sending

Job-title fields are free text, so once in a while someone types something that isn't really a title - a person's name, an email address, or a company name. Before any title is sent for classification, vizrm automatically checks it for personal data.

If a title appears to contain personal data, it is held back and never sent to the AI model.

Where your data is processed

Titles are classified using Microsoft Azure OpenAI, a sub-processor that runs in the EU. This means your data is:

  • Processed in the EU.

  • Never used to train, fine-tune, or improve any AI model.

  • Covered by a Data Processing Agreement with appropriate sub-processor terms.

Customers can opt out of AI features as described below; in that case, we will not send any data to an AI model.

How to opt out of AI features

Admin rights are required for these settings

You can opt out of the vizrm AI features to prevent any data from being processed by AI. As an admin, simply navigate to app.vizrm.com/ai-data-processing and deselect the "AI title classification" toggle.

What data is stored by vizrm

vizrm does remember classification results as a generic role category. This is not linked to a person, a contact, or your company in any readable way, and it contains nothing that could reveal who held the title or which customer it came from.

Titles that were held back by the personal-data check described above are never stored in readable form.

Can another customer see our data?

No. Only generic, anonymous role categories are reused across the platform, and a generic role carries no information about you or your contacts. Nothing that identifies your organization, your users, or your CRM records is ever stored and therefore visible to another customer.

Your data and GDPR

Because no personal data is sent to the AI, and because what we keep can't be tied back to a person, there is no personal data held inside this feature to export or delete. Your contact data continues to live in your CRM, under your control, and is covered by vizrm's standard data-processing terms. For any access or deletion request, our normal privacy process applies Data Processing Agreement (DPA).
