How vizrm integrates with HubSpot

How vizrm integrates with HubSpot

Overview

This article explains how to set up and use the vizrm–HubSpot integration. You'll learn how to configure CRM mappings, view and update org charts, manage contacts and companies, create activities, and connect deals between the two platforms.

Setting up the integration

  1. Install and connect vizrm with HubSpot from the HubSpot Marketplace

  2. In the Settings Menu (https://app.vizrm.com/settings), open CRM Integration.

  3. Map vizrm attributes (e.g., job title, LinkedIn profile link) to HubSpot's standard or custom attributes.

  4. Customize org chart views based on HubSpot attributes such as job title, buying role, phone number, or email.

Org chart card on Company records

Admin setup required - a HubSpot admin needs to add the vizrm card to the Company record view before it becomes visible to users.

The vizrm card on a HubSpot Company record gives your team a quick view of the org chart without leaving HubSpot. It shows:

  • Org chart thumbnail - a visual preview of the current chart for this company.

  • Contact count - how many contacts associated with this company have been placed in the org chart.

  • Updated - date when the org chart was last updated

  • Open Org Chart - launches a modal inside HubSpot with the org chart

Adding the vizrm card to Company records

  1. In HubSpot, navigate to a Company record.

  2. Click Customize record (top right of the record view).

  3. In the left panel, find vizrm under available cards.

  4. Drag it into the right-hand sidebar of the record layout.

  5. Click Save - the card will now appear for all users in your HubSpot account.

Opening the full org chart

Click Open Org Chart in the vizrm card to launch the org chart viewer. The viewer opens as a modal inside HubSpot - you stay on the same page.

Viewer Capabilities

From the viewer, you can zoom and pan to navigate the full chart.

To make changes to the chart, click the Edit button on the top right of the viewer window. This opens vizrm in a new browser tab with the full editor for this company.

Tip: If the thumbnail is empty, the chart has not been built yet for this company. Click Edit in vizrm to start building it.

Accessing org charts from HubSpot contact records

Admin setup required - a HubSpot admin needs to add the vizrm card to the Contact record view before it becomes visible to users.

  • From a contact record in HubSpot, open vizrm directly in the right-hand panel.

  • This shows the org chart for that company or contact, with the ability to navigate relationships.

Syncing org chart KPIs to HubSpot fields

vizrm can automatically write org chart coverage data back into custom number fields on your HubSpot Company records - for example, how many contacts have been placed on the chart and what percentage of total contacts that represents.

This is an admin-only setup. See Sync org chart KPIs to CRM fields for the full setup guide.

Managing contacts and companies

  • Update contact data in vizrm → changes sync back to HubSpot.

  • Create new contacts directly from the org chart or the LinkedIn Browser Extension, automatically adding them to HubSpot.

  • Create or update organizations: Add new companies or subsidiaries in vizrm. Relationships (e.g., parent–child) are synced to HubSpot.

  • Drag-and-drop org chart relationships to modify parent/child links, which are also updated in HubSpot.

Activities (tasks & follow-ups)

  • Create and update activities for contacts directly in the vizrm org chart.

  • Activities sync bidirectionally

    • Tasks created in vizrm appear in HubSpot.

    • Tasks created in HubSpot appear in vizrm.

  • Completed tasks sync across both systems.

Deals & participants

  • View deals related to an organization inside vizrm.

  • Add deal participants directly from the org chart.

  • Participants added in vizrm sync to HubSpot, and vice versa.

  • Keep deal records up to date with all relevant contacts.

Summary

With the vizrm–HubSpot integration, you can seamlessly manage org charts, contacts, organizations, activities, and deals across both platforms. Updates are synchronized in real time, helping your sales team stay aligned and efficient.
